Privacy Policy

Last Updated: 30/10/2026

Get Memories Back is run by Alastair Ferris from Whenuapai, Auckland, and provides media transfer services throughout New Zealand. NZBN: 9429053400932.

We take privacy seriously, and not only because the law requires it. The tapes, film, photographs and recordings you send us usually contain your family, your home and moments that exist nowhere else. This policy explains what we collect, what we do with it, and what we will never do with it.

This policy is written to meet our obligations under the Privacy Act 2020.

Our privacy officer

Alastair Ferris is our privacy officer. Any question, request or complaint about privacy should go here.

What we collect

Your contact and order details. Your name, email address, phone number, postal address, the formats and quantities you are sending, your preferred delivery method, and any notes you add to your order.

Billing information. Invoice records and payment status. We do not see or store your full card details — card payments are processed by Stripe, and we only receive confirmation that a payment succeeded.

The content of your media. When you send us tapes, film, discs, photographs or recordings, the content of those items is personal information, and it frequently contains images and voices of other people, including children. We treat it accordingly.

Website information. If analytics are running on our website, we may collect standard information about how the site is used, such as pages visited and the general location of your device. This is covered under "Cookies and analytics" below.

How we collect it

Almost everything we hold is given to us directly by you, through the order form, the contact form, by email or in conversation.

Occasionally we receive personal information about someone other than the person we are dealing with — for example, if you give us a different name or address for delivery. Where we collect personal information about someone indirectly, we will take reasonable steps to make that person aware of it, as required by the Privacy Act.

Why we use it

- To carry out the work you have asked us to do.

- To keep you informed at each stage, from arrival through to return.

- To invoice you and take payment.

- To return your original media and your files to you.

- To answer your questions and deal with any problem that arises.

- To meet our legal and tax obligations.

We do not sell your information to anyone, and we do not share it for anyone else's marketing.

Who can see the content of your media

Only Alastair. Nothing is subcontracted and nothing is sent to another provider. The content is viewed only to the extent needed to confirm the transfer completed properly — we are checking that it worked, not watching your holidays.

Where your media and files are kept

Physical media is stored in a secure, dry room from the moment it arrives until it goes back to you.

Your finished digital files are held for three months after delivery and are then deleted. If you choose Google Drive delivery, the link remains live for six months.

Please make your own backup once you receive your files. We are not a backup service, and after three months we will not be able to supply your files again.

Emails and text messages

We will send you messages about your order, confirming it, telling you your media has arrived, letting you know when it is finished. These are part of the service you have asked for.

We will only send you marketing messages, such as newsletters or special offers, where we are entitled to do so, and every one of them will identify us clearly and include a working unsubscribe option. If you unsubscribe, we will stop. You will still receive messages about any order you have placed.

Cookies and analytics

Our website may use cookies and similar technologies to understand how the site is used and to improve it. You can set your browser to refuse cookies, though parts of the site may not work as well.

Keeping your information safe

Physical media is held in a secure, dry room. Digital files and customer records are held in password-protected systems, accessible only to Alastair. We keep information only as long as we need it, or as long as the law requires.

If a privacy breach ever occurred that was likely to cause serious harm, we would notify the people affected and the Office of the Privacy Commissioner, as the Privacy Act requires.

Seeing and correcting your information

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong. Email and we will respond as quickly as we can, and in any case within the timeframe the Privacy Act allows.

There is no charge for this.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first here — most things are quickly sorted out directly.

If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner:
